Privacy Policy

Hearloom is a keepsake voice journal. Parents, and the people who love a child, record short voice messages and photos that are kept safe and delivered back on the dates that matter most. We take the privacy of those keepsakes seriously, because they are meant to last. This policy explains what we collect, how we use it, and the choices you have.

Hearloom is operated from the United States and is currently available to users in the United States only.

Information we collect

We collect only what we need to run the service.

Account information. When you create an account we collect your email address and a password (passwords are stored in hashed form, never in plain text). You may also add a display name, a profile photo, and an optional recovery email.

Information about a child. A parent can add a child to Hearloom, including the child’s first name, an optional nickname, date of birth, and an optional photo. This information is provided by the adult who manages the child’s vault.

The keepsakes you create. When you record a memo we store the audio recording, any photos you attach, an optional title, and the delivery date you choose. We also store who recorded it and which child’s vault it belongs to.

Connections and roles. We store how people are connected to a child (for example, parent, grandparent, or family friend), the invites used to connect them, and the relationship label and reminder frequency you choose.

Notifications. If you enable notifications, we store a device push token so we can send the reminders you have asked for and let you know when a memo is ready. You control which notifications you receive and can turn them off at any time.

Diagnostic information. We use Sentry to collect crash and error reports so we can fix problems. These reports may include limited technical information about your device and the error.

We do not collect location data, we do not use advertising trackers, and we do not sell your information.

How we use your information

We use the information above to:

  • create and secure your account,
  • store your memos and photos and deliver them on the dates you choose,
  • show each person the right view of a child’s vault,
  • send the reminders and notifications you have enabled,
  • respond to your questions and provide support, and
  • keep Hearloom working and fix problems.

How your information is stored and shared

Your data is stored with trusted service providers that process it on our behalf:

  • Supabase hosts our database, authentication, and file storage. Audio and photos are kept in private storage and served only through time-limited, signed links.
  • Expo and Apple deliver push notifications to your device.
  • Apple provides the App Store, TestFlight, and Sign in with Apple.
  • Sentry processes crash and error reports.

We share your information with these providers only as needed to run the service. We do not sell your personal information, and we do not share it for advertising. We may disclose information if required by law, or to protect the rights, safety, and property of Hearloom and its users.

How long we keep your information

Hearloom is built to last. By design, memos are kept for the life of a child’s vault, up to the child’s 18th birthday, so that a voice recorded today can be opened years from now. Because of this, memos that have been left for a child are preserved even if the person who recorded them later stops using Hearloom or passes away. This preservation is part of the promise of the product and is described in our Terms of Service.

You can ask us to delete your account. When you do, we will remove your personal account information. Memos you have already left in a child’s vault may be retained so that the keepsake remains intact for the child, as described above.

Children’s information

Hearloom is intended for use by adults. Children do not create accounts and do not use the app. Information about a child is entered by the parent or other adult who manages that child’s vault, and that adult is responsible for the information they provide. If you believe a child’s information has been added without the right to do so, contact us and we will address it.

Your choices and rights

You can:

  • view and update your account information in the app,
  • choose which notifications you receive, or turn them off,
  • ask us to access, correct, or delete your personal information.

Security

We protect your information with encryption in transit, private file storage with signed access links, and access controls that limit each person to the parts of a vault they are allowed to see. No system is perfectly secure, but we work hard to keep your keepsakes safe.

Changes to this policy

We may update this policy as Hearloom grows. When we make a meaningful change, we will update the date at the top and, where appropriate, let you know in the app.
